Client Service Associate (CSA)

Job Family : Administration

The purpose of the job or role & why it exists:

The Client Service Associate (CSA) serves as the direct interface between the Suppliers, the Service Center and the internal clients, as well as a link between the Procurement work process and the transactional systems.


Primary Responsibilities:

Troubleshoot and process invoices
Train on processing routine invoices
Handle correcting entries
At the direction of the Work Process Specialist ensure new work processes based on audit feedback are followed.
Ensure adherence to the work process.
Expedite/ resolve invoices (i.e. resolve invoice issues to enable payment)
Receive invoices to pay, validate necessity of payment, check Delegation Of Authority (DOA) to spend (non-PO and unpriced), pay supplier
Participate in Six Sigma projects as process SME
Be aware of new procurement methods and know where to direct internal partners for correct information.
Guide and assist internal partners; be the knowledgeable focal point for supplier and internal partner transactional procurement issues (Help-line).
Contribute to work process improvements.
Coordinate business rule / operating procedure changes.
Monitor daily workload and staffing levels and inventory focal points.
Monitoring of functional mailboxes.
Maintains Level 6 documentation for work process.
Investigate work process non-compliance, determining root cause and recommending corrective action.
Be responsible for training and training material updates.

Experience Requirements
Skills/Knowledge:

Procurement work process including business rules, operating procedures, value-added procurement principles, procurement and accounting systems
Good knowledge of the country specific legal & tax requirements
Ability to investigate root cause
Knowledge of Management of Change (MOC) process
SAP; MSMS/DPRS/PSMS; INCA
Word; Excel; Power Point
Good oral and written communication skills
Follow through on commitments by the deadline requested
Good knowledge of the country specific accounting systems

Educational requirements:
Europe
MBO level diploma and 3-5 year of related experience.
Fluency in the English language and a good command of one or more other European languages.
